A repair can be physically finished while the owner still lacks a usable record of what changed. Reports may arrive under different job numbers, a marked drawing may not identify its final revision, and an unresolved action may disappear inside an otherwise complete folder. A ship repair completion dossier should make those boundaries visible.

This guide is for fleet teams assembling the owner’s handover record after a repair period. It is not another initial ship repair RFQ checklist, and it does not turn a yard completion package into a class approval. The useful outcome is a controlled set of evidence that the vessel and office can find, understand and maintain.

Define the dossier around the agreed work list

Start with the latest agreed work-item register, including authorized changes. Give every completed, deferred or cancelled item an explicit status. Preserve the connection between the original scope, the final work boundary and the document that records the outcome.

For each item, ask a practical question: could a superintendent who did not attend the repair identify the equipment or location, understand the work recorded and locate the relevant evidence? A collection of filenames is not enough if the references do not connect.

  • Work reference: the stable item number and any linked change reference.
  • Vessel reference: equipment tag, compartment, frame range or other suitable location identifier.
  • Recorded outcome: what was completed, what was not and which boundaries remain conditional.
  • Evidence: report number, drawing revision, photograph reference or other agreed record.
  • Owner action: the person responsible for receiving, reviewing or following up the item.

Keep work records, acceptance and certification distinct

A workshop report describes a different function from an owner’s acceptance record or a document issued by a classification society or flag Administration. Store them under the same work reference where relevant, but do not rename them as if they were interchangeable.

For example, a functional test report should identify what was tested and the stated conditions. It does not automatically show that every related survey item is closed. The separate class survey coordination guide addresses those formal interfaces. Questions about certification or permission to operate belong with the responsible authority.

Record the origin and status of each document: issued by the yard, supplied by an equipment specialist, reviewed by the owner, submitted for review or formally accepted where that term applies. Do not infer approval from a distribution email or a file marked “final”.

Build an index that survives a change of personnel

Agree a short index rather than relying only on the folder structure used by each contractor. Useful fields include the work-item number, document type, issuer, document number, revision, issue date and storage location. An equipment tag in the index helps connect workshop records with the vessel’s maintenance information.

Separate record identity from file format

A PDF, photograph or spreadsheet can all be valid parts of the agreed package. The format alone does not establish authenticity or completeness. Retain the issuer’s original record and identify any owner-created summary as a summary, not a replacement certificate.

Make attachments traceable

If a report refers to measurement sheets, photographs or parts lists, check that the referenced attachments are actually present. A report header and signature page without the underlying sheets may leave the owner unable to interpret the result later.

Reconcile as-found, performed-work and as-fitted information

Distinguish the condition recorded before work from the work performed and the arrangement handed back. Where equipment or an arrangement changed, connect the final drawing or equipment record to the relevant work item and change authorization.

A marked-up drawing may be an input to a later drawing revision rather than the final as-fitted record. State who is responsible for producing the controlled revision, when it is expected and which interim information the vessel is receiving. Do not silently overwrite the earlier issue or describe an unresolved mark-up as approved design information.

Where parts were renewed, identify the recorded part numbers and equipment references. Keep manufacturer or specialist documentation with the relevant item without suggesting that every supplied document carries the same approval or warranty status.

List outstanding items separately from the completion statement

An open-item register should show what remains, why it remains open, the responsible party and the agreed next step. Separate missing paperwork from unfinished work and from a survey or technical decision that is still outstanding. Those conditions have different consequences and should not be hidden under one “pending” label.

Where an item is deferred, retain the actual instruction and its stated conditions. This guide cannot determine whether a vessel may operate with a particular defect or deferred task; that decision needs the appropriate technical and regulatory input.

Connect the handover to the owner’s maintenance system

Identify which records the vessel needs on board and which the fleet office will retain. Decide who will update the owner’s equipment history, planned-maintenance records and controlled drawings where applicable. Avoid claiming that a document has been entered into the maintenance system merely because a shared-folder link was sent.

Before closing the administrative handover, check a sample of work items from the index through to the actual attachments. Verify access permissions, readable files and correct revisions. This is a practical completeness check, not an independent certification of the technical work.

Agree handover expectations when discussing the repair

Gisan’s ship repair and maintenance scope provides the service context. The dossier contents, specialist reports and review responsibilities should be agreed for the particular vessel rather than assumed from a general service description.

For a technical enquiry, send the work list and the records you expect through Gisan Shipyard’s enquiry page. A clear document schedule at the start makes the final handover easier to define; it does not guarantee a survey outcome, a fixed delivery period or a particular certification package.
